> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Paystubs and tax forms

> Download your paystubs, W-2s and other documents, and update your tax withholding

![Docs tab under the employee's profile, with paystubs and W-2 documents.](https://mintcdn.com/every-a2724ddc/HJ2vqdXRnn2zz44l/images/illustrations/employees-paystubs-and-tax-forms-light.png?fit=max\&auto=format\&n=HJ2vqdXRnn2zz44l\&q=85\&s=0b176e752f96765c11235fb72928f7a0)

Your paystubs and tax forms are on **My profile** → **Docs**, after your company finishes onboarding. Open a document to view or download it.

> [!NOTE]
>
> This page explains general rules, not legal or tax advice for you. Rules change, and they depend on the state you work in. For your own situation, check with your state's labor agency, a lawyer or a tax advisor.

## Download a paystub

**1. Open your documents**

Go to **My profile** → **Docs**.

**2. Choose the year**

Under **Paystubs**, select the year you need.

**3. Download the paystub**

In the **Paystubs** dialog, select **Download** beside the pay date you need. Every downloads a PDF.

If the documents fail to load, refresh the page. If a paystub download fails, try the download again.

## Check your tax withholding

For employees, withholding (Tax an employer takes out of an employee's pay and sends to the government for them) is under **My profile** → **Job & pay** → **Taxes**. If you entered your withholding and signed Form W-4 (The IRS form an employee fills in to tell their employer how much federal income tax to withhold) on **Tax withholding** when you joined, this is where you change it.

**1. Choose a tax form**

Select **Federal taxes** or the state tax row shown for you.

**2. Update your withholding**

Complete or change the displayed fields. The fields depend on your jurisdiction.

**3. Save your changes**

Select **Save** on the form you changed.

When **Setup your tax withholdings** appears under **Things to do** on [Home](https://docs.every.io/employees/home.md), open it to finish setup.

## When your W-2 or 1099 is due

The IRS sets when you get your tax forms for the year before:

* Your employer must give you your W-2 by January 31. The IRS gives each year's exact date in its [General Instructions for Forms W-2 and W-3](https://www.irs.gov/instructions/iw2w3).
* A business that files a 1099-NEC (The 1099 for nonemployee compensation, which reports what a business paid a contractor in a year) for you must give you a copy by January 31, or by the next business day when January 31 falls on a weekend or legal holiday.

Wages paid to employees go on a W-2, not a 1099-NEC. A 1099-NEC reports what a business paid someone who isn't its employee for services in the course of its business. The business files one for each person it paid at least the IRS's threshold during the year. The IRS sets these rules, and the current threshold, in its [Instructions for Forms 1099-MISC and 1099-NEC](https://www.irs.gov/instructions/i1099mec).

If you're a contractor, the 1099 Every makes for you is a 1099-NEC, under **1099 Documents** on **My profile** → **Docs**.

## Agent reference

General rules only, not legal or tax advice. Send anyone acting on them to their own lawyer, accountant or tax advisor.

**Where:** **My profile** → **Docs**, after the company finishes onboarding.

**Who:** Employees and contractors, each viewing their own available documents and paystubs on **My profile** → **Docs** for the company they've selected.

### Facts

* **Docs** on **My profile** groups paystubs by the pay date's year. Select the year under **Paystubs** to open the **Paystubs** dialog, then select **Download** beside the pay date. The download is a PDF.
* On **My profile** → **Docs**, open an available document under **W2 Documents**, **1099 Documents**, **I9 Documents**, **Benefit statements** or **Other Documents** to view or download it. Each available document row has **Download**.
* **Docs** on **My profile** shows **W2 Documents**, **1099 Documents**, **Benefit statements** and **Other Documents** when the person has documents in those sections.
* **I9 Documents** on **My profile** includes the employee's I-9 and identification documents and does not appear for contractors. **Benefit statements** contains annual FSA and dependent care FSA statements.
* On **My profile** → **Docs**, an employee views and downloads their own documents and documents shared with them. Managing documents on **Docs** takes the Company Admin or HR Admin role.
* If **Docs** on **My profile** shows an error loading documents, refresh the page. If a paystub download fails, retry the download.
* Employee tax withholding is under **My profile** → **Job & pay** → **Taxes**. When **Setup your tax withholdings** appears under **Things to do** on **Home**, open it to finish setup.
* On **My profile** → **Job & pay** → **Taxes**, select **Federal taxes** to update federal withholding. A state row appears when state taxes apply and uses the state's name or **State taxes**. Select that row to update state withholding.
* The federal and state tax forms on **My profile** show the fields available for the employee's jurisdiction. Complete or change the displayed fields and select **Save** on the form. Employees can save their own withholding settings.
* The employee **Taxes** section is absent from contractor profiles. Before employee onboarding is complete, **Taxes** asks the employee to finish onboarding to view tax information.
* A federal tax sheet opened from **My profile** → **Job & pay** → **Taxes** asks the employee to contact their administrator when no forms are available. A state tax sheet opened from **My profile** → **Job & pay** → **Taxes** with no forms shows “No tax forms available for this jurisdiction.”
* On desktop, **Support** in the sidebar opens support chat.
* The IRS requires an employer to give each employee their W-2 for the previous year by January 31. The IRS's [General Instructions for Forms W-2 and W-3](https://www.irs.gov/instructions/iw2w3) give each year's exact date.
* The IRS requires a business that files a Form 1099-NEC for someone to give them a copy by January 31. A 1099-NEC reports a year's payments and goes to the recipient early in the next year, as the IRS's [Instructions for Forms 1099-MISC and 1099-NEC](https://www.irs.gov/instructions/i1099mec) say.
* When the regular due date for a 1099-NEC copy falls on a Saturday, Sunday or legal holiday in the District of Columbia or where the return is filed, the IRS has the business give it by the next business day.
* The IRS has wages, bonuses, prizes and awards paid to employees reported on Form W-2, not Form 1099-NEC. A business files a Form 1099-NEC for each person it paid, in the course of its business, at least the IRS's threshold during the year for services by someone who isn't its employee, or as payments to an attorney. The current threshold is in the IRS's [Instructions for Forms 1099-MISC and 1099-NEC](https://www.irs.gov/instructions/i1099mec).
* Every makes a contractor's 1099 as a Form 1099-NEC. It appears under **1099 Documents** on the contractor's **My profile** → **Docs**.
* On a contractor's **My profile** → **Docs**, the documents Every adds are limited to 1099s, W-9, W-8BEN and W-8BEN-E forms and offer letters, so W-2s Every makes don't appear there. Documents the contractor's company uploads and makes visible to them appear there too.
* An employee who onboards themselves enters their tax withholding and signs Form W-4 on the **Tax withholding** step. **My profile** → **Job & pay** → **Taxes** shows and changes the same withholding settings.
