> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.

# All payments

> Track every bill, payment and reimbursement from inbox to paid, and approve or decline them

![All payments page with its tabs, All selected, over payments each showing its stage.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-bill-pay-overview-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=fbb6db1c8fa8f481482860a14566bea0)

**Payments** → **All payments** lists your company's bills, vendor payments, reimbursements and payroll runs, from the moment a bill arrives until it's paid.

Company Admins, Bookkeepers and Accounts Payable users can use it after your company finishes onboarding.

> [!NOTE]
>
> Every turns on the **All payments** page, the bill inbox, failure reasons and the Accounts Payable role company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

Select **Send money** to pay a vendor (see [Send money](https://docs.every.io/admins/bill-pay/payment-methods.md)). With the bill inbox, **Upload bill** adds bills from files (see [Upload bills](https://docs.every.io/admins/bill-pay/creating-bills.md)).

If the page is titled **Bills & Reimbursements**, its tabs are **Need approval** and **Approved**, plus **Inbox** when the bill inbox and the **Bill Pay** setting are on, and it has no **Upload bill**.

## Tabs

| Tab | What it lists |
| - | - |
| **All** | Each payment and payroll run, plus the bills waiting in the inbox and the bills you declined |
| **Inbox** | Bills you uploaded or emailed to Every |
| **Needs approval** | Payments waiting on their approvers |
| **Scheduled** | Payments held for a later date, and payroll runs that haven't been paid or failed yet |
| **Failed** | Payments that failed, were canceled or were declined, and the bills you declined |
| **Paid** | Payments that have gone out |

**Inbox** and **Upload bill** show when the **Bill Pay** setting is on. On **Settings** → **Accounting**, under **Bookkeeping automations**, Company Admins and Bookkeepers can turn it on or off (see [Accounting settings](https://docs.every.io/admins/settings/accounting.md)).

## Find a payment

Each row shows:

| Column | What it shows |
| - | - |
| **Recipient** | The vendor, the employee for a reimbursement (see [Reimbursements](https://docs.every.io/admins/bill-pay/reimbursements.md)) or the payroll run |
| **Type** | **Bill pay**, **Payment**, **Reimbursement**, **API payment** or **Payroll** |
| **Stage** | Where the payment is now (see [Track a payment](#track-a-payment)) |
| **Due date** | When it's due, or the pay date of a payroll run |
| **Status** | The days to its due date, or when it pays or was paid. **Inbox** has no **Status** column |
| **Category** | The payment's category, or **Payroll** for a payroll run, hidden until you show it |
| **Approved By** | Who approved it, hidden on **All** and **Inbox** until you show it |
| **Invoice** | An icon that downloads the invoice file |

Use the search box to find a payment by recipient, invoice number or, for a reimbursement, the employee's name. Select **Filter** to narrow payments by recipient, type, method, category, approver, due date or amount, and on some tabs by stage or urgency. On **Inbox**, you can also filter by vendor match or possible duplicate, but not by approver.

Select **Display** to choose the columns. Each page lists 25 payments.

![The All payments page, with tabs from All to Paid and each payment's recipient, type, stage, due date, status and amount.](https://mintcdn.com/every-a2724ddc/qvvudeZxc26V6Klz/images/screens/admins-bill-pay-overview-light.png?fit=max\&auto=format\&n=qvvudeZxc26V6Klz\&q=85\&s=38448ca656263393f3e1ce995ef4bb99)

## Act on payments

Hover over a row to see **Open**. On a payment or bill you can approve, **Approve** shows before it (see [Approvals](https://docs.every.io/admins/bill-pay/approvals.md)).

* Company Admins can approve or decline any payment waiting on approval, except a reimbursement paid to them. Bookkeepers and Accounts Payable users can act only on payments in their own to-dos.
* Only Company Admins can approve a bill in the inbox from the list, or decline one.
* **Approve** on a payment asks "Approve this payment?" and says "This will approve and schedule the payment." On a bill in the inbox, it asks "Approve this bill?" and says "This bill will be paid immediately."
* To decline a payment, open it (see [Open a payment](#open-a-payment)), or select its row, then **Actions** → **Decline**.

To act on several at once:

1. Select their rows on **All**, **Needs approval** or **Inbox**.
2. Select the approve button, such as **Approve 3 · \$1,250.00**, which shows how many selected payments can be approved and their total. Or open **Actions** to approve, decline or change the category of payments.

Declining payments asks for a reason. In **Actions**, Company Admins can also select **Delete**, which removes bills from the inbox the way declining does. You can approve, decline or delete up to 100 at a time.

![Selected payments with the bulk approval count and total, and the Actions menu.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-bill-pay-overview-bulk-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=c0c723ad4e63a78d918f9115c724319e)

## Open a payment

Select a row to open its details.

When the page has an **Inbox** tab, payments, reimbursements, payroll runs and declined bills open in a drawer. So do bills on the **Inbox** tab of the **All payments** page. A bill from the inbox on **All**, or on the **Inbox** tab of the **Bills & Reimbursements** page, opens in its drawer or in **Send money** with the bill filled in. In the drawer:

* The invoice shows beside the details. A payroll run shows its payment record instead.
* **Previous** and **Next** move through the rows on the page, or through all of the bills on **Inbox**. **Done** closes the drawer.
* **Approve** reads **Approve & next** when another payment is waiting on you. Confirming it opens that payment.
* **Decline** on a payment opens **Reason for rejection**: enter a reason, then select **Reject**. On a bill in the inbox, **Decline** shows for Company Admins. It asks "Decline this bill?" and removes the bill from the inbox.
* When Every doesn't have complete bank details for the vendor, the drawer says **Missing vendor details**, hides **Approve** and offers **Add vendor details**.

When the page has no **Inbox** tab, a payment opens in the payment's sheet instead, with **Approve** (**Approve & next** when another payment is waiting on you) and **Reject**. **Approvals** shows each approver's status, and **Reject** asks for the reason the same way.

## Payroll runs and declined bills

* Each payroll run is one row, named like **Payroll Mar 1 - Mar 15** for a regular run, on **All**, **Scheduled**, **Paid** and **Failed**. **Amount** shows for Company Admins and HR Admins and is blank for everyone else. In the drawer, a payroll run says "Payroll runs are approved in Payroll, so there is no decision to make here." and has **Open payroll**.
* A bill you declined stays on **All** and **Failed**, with **Declined** in **Stage** and **Called off** in **Status**, unless it was flagged as a possible duplicate.

## Track a payment

Stage reads:

| Stage | What it means |
| - | - |
| **Inbox** | A bill you uploaded or emailed. It isn't a payment yet |
| **Needs approval** | The payment is waiting on its approvers |
| **Scheduled** | The payment is held for a later date, or the payroll run hasn't been paid or failed yet |
| **Processing** | The payment no longer waits on an approver and is on its way. It shows on **All** |
| **Paid** | The payment has gone out |
| **Failed** | The payment didn't go through |
| **Cancelled** | The payment was canceled |
| **Declined** | An approver declined the payment, or you declined the bill in the inbox |

A bill in the inbox can also read a more specific stage, such as **Potential duplicate**, **Data mismatch** or **Missing information**. [Upload bills](https://docs.every.io/admins/bill-pay/creating-bills.md) says what to do about each.

Status reads:

| Status | What it means |
| - | - |
| **Due in 3d** | Due in 3 days. Every counts down the days when the due date is 7 days away or less |
| **Due today** | Due today |
| **Overdue 2d** | 2 days past its due date |
| **Due Mar 4** | Due on that date. Every shows a date instead of a countdown when it's more than 7 days away or the invoice printed no due date |
| **Pays Mar 4** | Held, and sends on that date |
| **Paid today** or **Paid Mar 4** | Went out on that day. It reads **Paid** when Every has no date |
| **Not paid** | Failed |
| **Called off** | Canceled or declined |

## If the recipient hasn't received a payment

Find the payment on **All** and check its **Stage** and **Status** (see [Track a payment](#track-a-payment)).

If the recipient still hasn't received it, email [support@every.io](mailto:support@every.io). Give the recipient's name, amount, payment method, date and the status you see. In your email, ask Every to check the existing payment before you send another one.

Company Admins and Bookkeepers can also open the matching transaction on **Banking** → **Transactions**. An ACH payment can show a **Trace number**; a wire can show **IMAD** and **OMAD**. Include any identifiers shown when you email [support@every.io](mailto:support@every.io) to ask Every to investigate (see [Transactions](https://docs.every.io/admins/banking/transactions.md)).

## If a payment failed or was returned

Open the failed payment: its drawer shows a **Failure reason** under **Type**. When the page has no **Inbox** tab, the payment opens in its sheet instead, with a **Failure reason** row in the **Bill details** card. Company Admins and Bookkeepers can also look for a failure reason in the matching transaction's details on **Banking** → **Transactions**.

Do what the reason says before you try again:

* If there aren't enough funds in the account being charged, a Company Admin can add funds to it (see [Move money](https://docs.every.io/admins/banking/payments.md)).
* If the payment was already submitted for processing, look for it on **All** before trying again. Email [support@every.io](mailto:support@every.io) if you need help.

Email [support@every.io](mailto:support@every.io) if no reason shows, if the reason doesn't say what to do or if you need help retrying. Include the payment details and its **Failure reason**, if one shows.

## Agent reference

**Where:** **Payments** → **All payments**. The page there is titled **All payments**, or **Bills & Reimbursements**, which has its own tabs.

**Who:** Company Admins and Bookkeepers can open it, and so can Accounts Payable users once Every has turned that role on for the company. The sidebar shows **Payments** after the company finishes onboarding. Every turns on the bill inbox and failure reasons company by company. If **All payments** is missing, email [support@every.io](mailto:support@every.io) to ask about it.

* On **Payments** → **All payments**, **Failed** on the **All payments** page lists failed and canceled payments. It also lists declined bills and failed payroll runs.
* On **Payments** → **All payments**, **Paid** on the **All payments** page lists payments that have gone out, and completed payroll runs.
* On **Payments** → **All payments**, payroll runs never show on **Inbox** or **Needs approval**.

* On **Payments** → **All payments**, when the inbox holds more than 100 bills, **Inbox** says "Showing results from the 100 most recent inbox bills."
* On **Payments** → **All payments**, **Inbox** shows the same columns as the other tabs of the **All payments** page except **Status**, with **Approved By** and **Category** hidden at first. Selecting a row opens its drawer.
* On **Payments** → **All payments**, the **Inbox** empty state reads "Nothing needs attention" and says "Incoming bills wait here for review before approval or payment."

**Columns, search and filters:**

* On **Payments** → **All payments**, the columns on every tab of the **All payments** page except **Inbox**, in order, are **Recipient**, **Type**, **Stage**, **Due date**, **Status**, **Amount**, **Invoice Number**, **Category**, **Approved By** and **Invoice**. **Needs approval** adds **Next Approver** after **Approved By**.
* On **Payments** → **All payments**, **Recipient** shows the employee for a reimbursement and the vendor otherwise. A regular payroll run reads like **Payroll Mar 1 - Mar 15**, and another run reads **Payroll** followed by its own name.
* On **Payments** → **All payments**, **Type** reads **Payroll** for a payroll run, **API payment** for a payment created through the Every API and **Reimbursement** for a reimbursement. Any other payment reads **Bill pay** when it has a bill or invoice behind it, and **Payment** when it doesn't.
* On **Payments** → **All payments**, **Category** reads **Payroll** for a payroll run and the payment's category otherwise.
* On **Payments** → **All payments**, **Due date** is the pay date for a payroll run.
* On **Payments** → **All payments**, **Category** is hidden at first on every tab, and **Approved By** is hidden at first on **All** and **Inbox**.
* On **Payments** → **All payments**, **Invoice** shows an icon whose tooltip reads "Download invoice".
* On **Payments** → **All payments**, every tab of the **All payments** page except **Inbox** lists the newest payments first, 25 to a page.
* On **Payments** → **All payments**, the search box reads "Search..." and matches the vendor's name, the invoice number, the recipient name and a reimbursed employee's first and last name.
* On **Payments** → **All payments**, on **All**, search also narrows the bills from **Inbox** by their displayed name and invoice number. During a search, declined bills drop off **All** and **Failed**.
* On **Payments** → **All payments**, the filters on every tab of the **All payments** page except **Inbox** are **Recipient**, **Type**, **Urgency**, **Stage**, **Approved by**, **Method**, **Category**, **Due from**, **Due to**, **Min amount** and **Max amount**. **Type** offers **Bill pay**, **Payment**, **API payment**, **Payroll** and **Reimbursement**, and **Urgency** offers **Overdue**, **Due soon** and **Upcoming**. **Urgency** doesn't show on **Scheduled**, **Paid** or **Failed**, and **Stage** shows only where a tab holds more than one stage.
* On **Payments** → **All payments**, the **Stage** filter shows only where a tab holds more than one stage. On **All** it offers the stages of a bill in **Inbox**, plus **Needs approval**, **Scheduled**, **Processing**, **Paid**, **Failed** and **Declined**. On **Failed** it offers **Failed** and **Declined**. Choosing **Declined** also matches canceled payments.
* On **Payments** → **All payments**, the **Method** filter on every tab of the **All payments** page except **Inbox** lists the payment methods, such as **ACH**, **Wire**, **International wire**, **Book transfer** and **Check**.
* On **Payments** → **All payments**, **Approved by** matches only an approver who signed off.
* On **Payments** → **All payments**, on **All**, the filters apply to the bills from **Inbox** too, and an **Approved by** filter removes them.
* On the **All payments** page at **Payments** → **All payments**, the **Inbox** filters are **Recipient**, **Type**, **Urgency**, **Stage**, **Method**, **Category**, **Due from**, **Due to**, **Min amount**, **Max amount**, **Vendor** (**Matched** or **Unmatched**) and **Duplicate** (**Flagged** or **Not flagged**). There, **Type** offers only **Bill pay** and **Stage** offers the stages of a bill in **Inbox**.
* On the **All payments** page at **Payments** → **All payments**, the filter control is **Filter**, and **Clear filters** removes every filter.
* On **Payments** → **All payments**, **Display** lists the columns to show under **Fields**. **Reset view** appears once something has changed.

**Approve and decline:**

* On **Payments** → **All payments**, every tab of the **All payments** page has hover actions: **Open** on every row, with **Approve** before it on a payment or bill that can be approved. No row has a **Decline** action.
* On **Payments** → **All payments**, on every tab of the **All payments** page except **Inbox**, **Approve** shows on a payment waiting on approval that's in your own to-dos as one of its approvers. A Company Admin, who can override approvals, also sees **Approve** on a payment waiting on approval unless it's a reimbursement paid to them.
* On **Payments** → **All payments**, you can act on a payment that's in your own to-dos as one of its approvers, or by overriding its approval. Only Company Admins can override, and a Company Admin can't override a reimbursement paid to them. Bookkeepers and Accounts Payable users act only on payments in their own to-dos.
* On **Payments** → **All payments**, **Approve** on a row asks "Approve this payment?" or "Approve this bill?". The payment dialog says "This will approve and schedule the payment." The bill dialog says "This bill will be paid immediately."
* On **Payments** → **All payments**, a payment is declined from its drawer or the payment's sheet, or by selecting it and choosing **Actions** → **Decline**.
* On **Payments** → **All payments**, only Company Admins can decline a bill in **Inbox**. In the bill's drawer, **Decline** asks "Decline this bill?" and says "This bill will be marked as declined and removed from the Inbox." The message "Bill removed from the inbox" then has an **Undo** action.
* On **Payments** → **All payments**, after a row **Approve**, the message reads "Bill approved" or "Payment approved".
* On the **All payments** page at **Payments** → **All payments**, only a Company Admin can approve a bill in **Inbox** from the list. The bill's row shows only **Open**, with no **Approve**, while the bill needs something first: for example when it has no memo, its vendor isn't matched or has no bank account on file, it's flagged as a possible duplicate, its card processing fee needs review or the invoice prints bank details for the same payment method (ACH or wire) that differ from the account on file.
* On **Payments** → **All payments**, selecting rows on **All**, **Needs approval** or **Inbox** shows a bar with a selected-count button, an **Actions** menu headed "Bulk actions" and a button such as **Approve 3 · \$1,250.00**, with the number of payments it approves and their total.
* With payments in more than one currency selected on **Payments** → **All payments**, bulk **Approve** approves only the payments in the most common currency, and its count and total cover those.
* On **Payments** → **All payments**, **Approve** shows when something in the selection can be approved, and **Decline** shows when the selection has a payment that can be declined. Bulk **Decline** applies to payments, not to bills in **Inbox**, and asks for a **Reason for rejection**.
* On **Payments** → **All payments**, Company Admins also see **Delete** in the **Actions** menu when the selection has bills from **Inbox**. It asks with the count, such as "Delete 3 invoices?", and says "Only invoices in the Inbox will be deleted. Payments awaiting approval, scheduled, processing or paid will be kept." **Delete** removes each bill from the inbox the same way declining one does.
* On **Payments** → **All payments**, **Change category** shows when the selection has a payment, and it applies to payments, not to bills in **Inbox** or payroll runs.
* On **Payments** → **All payments**, **Change category** in the **Actions** menu opens a list of categories with a search box reading "Search category...".
* On **Payments** → **All payments**, with rows selected, the E key approves, D declines and C changes category. Choosing a category applies it right away, with no confirmation step.
* On **Payments** → **All payments**, bulk **Approve** takes at most 100 payments at a time and says "Select at most 100 payments to approve at a time" beyond that. Bulk **Decline** says "Select at most 100 invoices to decline at a time", and bulk **Delete** also takes at most 100.
* On **Payments** → **All payments**, the bulk **Approve** dialog is titled with the count, such as "Approve 3 payments?". With bills from **Inbox** in the selection it gives the total and the count and says "Inbox bills are paid immediately.", and otherwise it says "Approve and schedule", then the total and the count. The bulk **Decline** dialog is titled with the count, such as "Decline 3 payments?", and says "This cannot be undone for bills already in an approval chain."

**The drawer and the payment's sheet:**

* When **Payments** → **All payments** has an **Inbox** tab, selecting a payment, reimbursement, payroll run or declined bill opens a drawer. On the **All payments** page, selecting a bill on the **Inbox** tab opens its drawer too. Selecting a bill from the inbox on **All**, or on the **Inbox** tab of the **Bills & Reimbursements** page, opens its drawer or Send money with the bill filled in.
* When **Payments** → **All payments** has no **Inbox** tab, selecting a payment row opens the payment's sheet, and selecting a reimbursement row opens the reimbursement's sheet.
* On **Payments** → **All payments**, the drawer shows the invoice in a preview panel beside the details, or a payroll run's **Payment record**. Its toolbar has **Previous**, **Next**, the position in the list and **Done**. The up and down arrow keys move through the rows. On every tab except **Inbox** the rows are the ones loaded on the current page, and on **Inbox** they are every bill on that tab.
* On **Payments** → **All payments**, the drawer's top shows **Amount due**, the due date while the payment isn't approved, and the buttons **Approve** and **Decline**.
* On the **All payments** page at **Payments** → **All payments**, the **Details** tab in the drawer of a bill, payment or reimbursement lists **Stage**, **Type**, **Bill date**, **Due date**, **Invoice no.**, **Method** and **Outstanding balance**, and has an **Attachments** section and a **Memo** section. For a payment or reimbursement that failed or was canceled, the tab also shows a **Failure reason** after **Type**, where Every has turned on failure reasons for the company. A card reads "Approved by" with the approver's name. A missing file reads "No file attached." and a payment with no memo reads "No memo added."
* On **Payments** → **All payments**, in the drawer and the payment's sheet, **Approve & next** replaces **Approve** when another payment of the same kind, a vendor payment or a reimbursement, is waiting on approval that you can act on. After the approval, the next one by due date opens.
* On **Payments** → **All payments**, **Decline** on a payment in the drawer opens **Reason for rejection**, with the placeholder "Enter the reason", at least 2 characters, and the buttons **Reject** and **Cancel**. On a bill in **Inbox**, **Decline** shows only to Company Admins, asks "Decline this bill?" and removes the bill from the inbox.
* On **Payments** → **All payments**, **Approve** on a payment in the drawer or the payment's sheet asks "Approve the Bill" and "Are you sure you want to approve this bill?", or "Approve the Reimbursement" and "Are you sure you want to approve this reimbursement?", with **Approve** or **Approve & next** as the confirm button.
* On **Payments** → **All payments**, when Every doesn't have complete bank details for a payment's vendor, the drawer shows **Missing vendor details** and a message saying Every needs complete bank details for the vendor before the payment can be approved, with **Add vendor details**, and hides **Approve**.
* On **Payments** → **All payments**, the drawer of an **Inbox** bill whose vendor isn't matched or has no bank account on file shows **Missing vendor details** and a message saying Every holds no bank details for the vendor, so the payment cannot be approved yet, with **Add vendor details**. The drawer of an **Inbox** bill flagged as a possible duplicate, or one whose bank details Every couldn't verify, doesn't show **Missing vendor details**. In the drawer of an **Inbox** bill, **Approve** shows only to a Company Admin, and stays hidden while the bill needs something first: for example when its vendor isn't matched or has no bank account on file, it's flagged as a possible duplicate or the invoice prints bank details for the same payment method (ACH or wire) that differ from the account on file.
* A payroll run's drawer says "Payroll runs are approved in Payroll, so there is no decision to make here." and has **Open payroll**, which goes to the run only for Company Admins and HR Admins. When **Payments** → **All payments** has no **Inbox** tab, a Company Admin or HR Admin who selects a payroll row goes to the run in **Payroll**.
* On **Payments** → **All payments**, a declined bill's drawer says "This bill was declined."
* On **Payments** → **All payments**, the payment's sheet shows the invoice in a preview panel. Its buttons are **Approve** or **Approve & next**, and **Reject**. It has a **Status** card (an employee card on the reimbursement's sheet), **Approvals** with the columns **Name**, **Status** and **Date**, an **Items** table with **Vendor**, **Description**, **Department** and **Amount**, and a card titled **Bill details**, or **Payment details** for a reimbursement.
* On **Payments** → **All payments**, an approver's step in **Approvals** reads **Approved**, **Currently reviewing**, **Next approver**, **Rejected** or **Skipped**, and a person who overrode the approval is added to the list.
* On **Payments** → **All payments**, for a vendor payment, **Bill details** on the payment's sheet lists **Recipient**, **Due date**, **Memo**, **Department** and **Payment type**, then the account's **Account number**, **Routing number**, **Account type** and **Bank**, or **Bank account** reading "No bank account information on file".

**Payroll, API payments, reimbursements and declined bills:**

* On **Payments** → **All payments**, payroll runs appear on **All**, **Failed**, **Paid** and **Scheduled**. Payroll rows' **Amount** shows only for Company Admins and HR Admins, and is blank for other roles.
* On **Payments** → **All payments**, at most 100 payroll runs load. When there are more, the page says how many it includes, in a line that starts "Only the" and ends "most recent payroll runs are included."
* On **Payments** → **All payments**, a payment created through the Every API starts with approval assigned to the company's signatory. Someone with permission to override payment approvals can approve it instead. The payment is not sent to the bank until it is approved.
* On **Payments** → **All payments**, a bill declined from **Inbox** shows on **All** and **Failed**, with **Declined** in **Stage** and **Called off** in **Status**, unless it was flagged as a possible duplicate.

**Stage and Status:**

* On **Payments** → **All payments**, **Stage** reads **Inbox** for a bill from **Inbox**, **Needs approval** for a payment with a pending approval, **Scheduled**, **Processing**, **Paid**, **Failed** and **Cancelled**. A canceled row belongs to the **Failed** tab.
* On **Payments** → **All payments**, a payment reads **Declined** when an approver rejected it or the bill was declined from **Inbox**, and **Cancelled** when the payment was canceled. Both belong to the **Failed** tab.
* On **Payments** → **All payments**, a payment reads **Failed** when it failed, and **Paid** when it went out. A payment held for a later date reads **Scheduled**.
* On **Payments** → **All payments**, a payment with a pending approval is at **Needs approval**. Any other payment in flight that isn't held for a later date is **Processing**, and shows on **All** only. A payroll run that hasn't been paid or failed reads **Scheduled**.
* On **Payments** → **All payments**, a bill in **Inbox** reads one of these stages. When more than one applies, it reads the first in this list:
  * **Potential duplicate**, when the bill is flagged as a possible duplicate.
  * **Data mismatch**, when its invoice prints bank details for the same payment method (ACH or wire) that differ from the account on file.
  * **Checking bank details**, **Bank details not checked** or **Bank details unavailable**, by the state of the bank details check.
  * **Missing information**, when no vendor matched or the vendor has no bank account on file.
  * **Review card fee**, when the invoice's card processing fee might be part of its total and nobody has reviewed the amount yet.
  * **Inbox**, when none of these applies.
* On the **All payments** page at **Payments** → **All payments**, a bill in **Inbox** that Every couldn't read shows **Unreadable** in **Stage**, in place of any other stage.
* On **Payments** → **All payments**, **Status** reads **Paid today** or a date such as **Paid Mar 4** for a paid row, and **Paid** when Every has no date. It reads **Not paid** for a failed row and **Called off** for a canceled or declined one.
* On **Payments** → **All payments**, **Status** reads a date such as **Pays Mar 4** for a payment held for a later date. For a row still waiting, it reads a count such as **Overdue 2d** past the due date, **Due today**, a count such as **Due in 3d** for a due date up to 7 days away, and a date such as **Due Mar 4** for a later one. A dash shows when there is no date.
* On **Payments** → **All payments**, **Status** shows a date such as **Due Mar 4** instead of a countdown when the invoice didn't print the due date itself.

**Failure reasons:**

* On **Payments** → **All payments**, a payment that failed or was canceled shows a **Failure reason**, where Every has turned on failure reasons for the company: on the **Details** tab of its drawer, after **Type**, and as a row in the **Bill details** card of the payment's sheet.
* On **Payments** → **All payments**, a failed payment with no specific reason shows the **Failure reason** "This payment couldn't be completed due to a processing issue. Contact support if you need help." To ask for help, email [support@every.io](mailto:support@every.io).
* On **Payments** → **All payments**, the **Failure reason** messages also include, word for word:
  * "This payment couldn't be sent because there aren't enough funds to cover it."
  * "This payment couldn't be completed because the account being charged doesn't have enough funds."
  * "This payment exceeds the daily transfer limit. Try a smaller amount or contact support."
  * "This payment couldn't be completed because the account holder name doesn't match. Verify it and try again."
  * "This payment couldn't be completed because the account has been closed."
  * "This payment couldn't be completed because the account number isn't valid. Check the details."
  * "This payment was already submitted for processing. Check the payment history before trying again", then a dash and "contact support if you need help."
  * "This international payment is missing a required purpose code for the destination country. Contact support so we can complete it."
  * "We couldn't send this domestic wire because of a routing configuration issue on our side. Contact support and we'll get it sent."
* On **Payments** → **All payments**, on a transaction's details sheet, a rejected or returned transaction with no reason shows "This payment couldn't be completed due to a processing issue. Contact support if you need help." under **Failure reason**, where Every has turned on failure reasons for the company. To ask for help, email [support@every.io](mailto:support@every.io).
* On **Payments** → **All payments**, **Bill details** is part of the payment's sheet. The drawer's **Details** tab has no **Bill details** card.

### Questions people ask

* **The payment says Paid, but the recipient hasn't received it. What should I do?** Find the payment on **Payments** → **All payments**, then email [support@every.io](mailto:support@every.io) with its recipient, amount, method, date and status. In your email, ask Every to check the existing payment before sending another one. Company Admins and Bookkeepers can also open the transaction on **Banking** → **Transactions** and provide any **Trace number**, **IMAD** or **OMAD** shown.
* **What should I do with a returned payment?** Follow its **Failure reason**, which shows where Every has turned on failure reasons for the company. On **Payments** → **All payments**, the reason is on the **Details** tab of the payment's drawer, or, when the page has no **Inbox** tab, in the **Bill details** card of the payment's sheet. Company Admins and Bookkeepers can also find it in the transaction's details on **Banking** → **Transactions**. Email [support@every.io](mailto:support@every.io) when no **Failure reason** shows, when the **Failure reason** doesn't say what to do or when you need help retrying. Include the payment details and the **Failure reason**, if one shows.
* **Should I send a failed payment again?** Not before following its **Failure reason**. When the reason says the payment was already submitted for processing, look for it on **All** on the **All payments** page before trying again. Email [support@every.io](mailto:support@every.io) if you need help.
* **Where do I see all my payments?** Go to **Payments** → **All payments**. The **All payments** page opens on **All**.
* **What's on the Bills & Reimbursements page?** If **Payments** → **All payments** is titled **Bills & Reimbursements**, it has the tabs **Need approval** and **Approved**, plus **Inbox** where Every has turned on the bill inbox for the company and the **Bill Pay** setting is on. It has no **Upload bill**.
* **Who can open All payments?** Company Admins and Bookkeepers, and Accounts Payable users once Every has turned that role on for the company, after the company finishes onboarding.
* **Why don't I see Inbox?** On **Payments** → **All payments**, **Inbox** shows when Every has turned on the bill inbox for the company and the **Bill Pay** setting is on. Check **Bookkeeping automations** on **Settings** → **Accounting**, which Company Admins and Bookkeepers can open.
* **Why don't I see Upload bill?** **Upload bill** is on the **All payments** page when the company has the bill inbox and the **Bill Pay** setting is on. The **Bills & Reimbursements** page has no **Upload bill**.
* **Why can't I approve or decline a payment?** On **Payments** → **All payments**, **Approve** and **Decline** show only on a payment waiting on approval, and only when it's in your own to-dos or you're a Company Admin, who can override it. A Company Admin can't override a reimbursement paid to them. Only Company Admins can approve a bill in **Inbox** from the list or decline one.
* **How do I approve several payments at once?** On **Payments** → **All payments**, select their rows on **All**, **Needs approval** or **Inbox**, then select the approve button, such as **Approve 3 · \$1,250.00**, or **Actions** → **Approve**. The limit is 100 at a time.
* **Can I change the category of several payments?** Yes. On **Payments** → **All payments**, use **Actions** → **Change category** after selecting rows on **All**, **Needs approval** or **Inbox**. It doesn't apply to bills in **Inbox**.
* **Why does my payment say Scheduled?** On **Payments** → **All payments**, it's held for a later date.
* **What does Processing mean?** On **Payments** → **All payments**, the payment no longer waits on an approver and is on its way. It shows on **All**.
* **What does Called off mean?** On **Payments** → **All payments**, the payment was canceled or declined.
* **Where did a bill I declined go?** On **Payments** → **All payments**, it shows on **All** and **Failed** with **Declined** in **Stage**, unless it was flagged as a possible duplicate.
* **Why does Status show a date instead of Due in a few days?** On **Payments** → **All payments**, Every shows a date when the due date is more than 7 days away, or when the invoice didn't print the due date itself.
* **Why can't I see a payroll run's amount?** On **Payments** → **All payments**, the amount shows for Company Admins and HR Admins only.
* **What does Missing vendor details mean?** On **Payments** → **All payments**, Every holds no bank details for the vendor, so the payment can't be approved yet. Select **Add vendor details**.
* **Where do I see why a payment failed?** Open the payment on **Payments** → **All payments**, where Every has turned on failure reasons for the company. Its drawer shows a **Failure reason** on the **Details** tab. When the page has no **Inbox** tab, the payment's sheet shows it in the **Bill details** card instead. Company Admins and Bookkeepers can also find the reason in the transaction's details on **Banking** → **Transactions**.
* **Can I cancel or reschedule a payment on All payments?** Not on the **All payments** page, whose row actions are **Open** and **Approve**. If **Payments** → **All payments** is titled **Bills & Reimbursements**, its **Approved** tab has **Reschedule** and **Cancel payment** on a payment held for a later date, where Every has turned on scheduled payments for the company.
