# Upload bills

> Upload or email bills to Every, then review, fix and approve them in your Inbox

![Upload bill dialog with a drop area and one invoice being read.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-bill-pay-creating-bills-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=086eb5c9d13a7835e3d17c507d4c5d2e)

Upload invoices or email them to your company's bill address, and Every reads the recipient, amount and due date off each one. The bills land on **Inbox**, a tab on **Payments** → **All payments**, where you review them before they're paid. If that page is titled **Bills & Reimbursements** instead, its **Inbox** has the bill address inside it, but no **Upload bill** or duplicate review.

Company Admins and Bookkeepers can add and review bills, and so can Accounts Payable users once Every has turned that role on for your company. Only Company Admins can pay a bill from **Inbox** without an approver, or decline one.

> [!NOTE]
>
> Every turns on the bill inbox and the **All payments** page company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## Before you begin

**Payments** shows in the sidebar after your company finishes onboarding.

The **Bill Pay** setting must be on, and it is unless someone turns it off. It's under **Bookkeeping automations** on **Settings** → **Accounting** (see [Accounting settings](https://docs.every.io/admins/settings/accounting.md)), which Company Admins and Bookkeepers can open.

When the setting is off, **Inbox**, **Upload bill** and the bill address are hidden, and bills emailed to Every aren't kept. You can still pay a bill with [Send money](https://docs.every.io/admins/bill-pay/payment-methods.md).

## Upload files

**1. Open the upload dialog**

Go to **Payments** → **All payments** and select **Upload bill**.

**2. Add the files**

Drop your invoices in, or select the drop area to choose them. Every takes PDF, PNG, JPEG and WebP files, and photos in HEIC or HEIF, up to 8 MB each, and 10 files in a batch. It makes one bill from each file.

**3. Read the results**

Every reads the files one at a time and marks each one. With several files, the dialog doesn't close by itself, so select **Done** after Every marks them. **Inbox** opens when a bill is added, already in your inbox or couldn't be read.

| Result | What it means |
| - | - |
| **Added** | Every read the bill, and it's on **Inbox** |
| **Already in inbox** | Every already has a bill made from this exact file, so it adds nothing |
| **Already paid** | A bill made from this exact file already became a payment, which can still be waiting for approval, so nothing is imported. Find that payment on **All payments** before you send it again |
| **Could not read** | Every couldn't read the invoice. The dialog's message says to open the unreadable bill on **Inbox** and upload a clearer invoice |
| **Failed** | The file couldn't be imported |

## Email bills

Your company has its own bill address, next to the title on **Payments** → **All payments**.

1. Hover over the address and select **Copy address**.
2. Email or forward invoices to that address. They show on **Inbox**.

Every makes a bill from each PDF attachment, up to a size limit. Images, PDFs over that size and other files in the email join the first PDF's bill.

## If Every can't read an invoice

An invoice Every can't read shows on **Inbox** with the stage **Unreadable**. To give Every a clearer file:

1. Select the bill, then select **Upload invoice**.
2. Choose a clearer PDF, PNG, JPEG or WebP file of the bill, up to 8 MB. Every reads the new file.

Company Admins can select **Delete bill** instead, which can't be undone.

## Review a bill

On **Inbox**, select a bill to open it in a drawer, with the invoice beside it. **Previous** and **Next** move through the list, and **Done** closes the drawer.

## Fix a bill that needs attention

The **Stage** column says what a bill needs.

### Add vendor details

**Missing information** means Every holds no bank details for the vendor, so the bill can't be approved yet.

**1. Open the vendor dialog**

In the drawer, select **Add vendor details**.

**2. Check the vendor**

If Every matched a vendor, the dialog shows its name. Otherwise, choose one in **Vendor**: the name Every read off the invoice, marked **New**, or one of your vendors. If the vendor you choose already has payment details on file, select **Confirm vendor** to link the bill to it, and you're done.

**3. Choose how you pay them**

In **How we pay them**, choose **ACH**, **Wire** or **Check**. For **ACH**, Every fills in the bank details it read from the invoice. Enter any details it left blank.

**4. Optional: add a remittance email**

In **Remittance email (optional)**, enter the vendor's email. The field shows only for a new vendor. If Every read an address off the invoice, select the checkbox that confirms it's the vendor's contact email, or Every doesn't save it.

**5. Choose whether to request a 1099**

Under **Tax details**, choose whether to request a filing of a 1099 (A family of IRS forms that report income other than wages, such as payments to contractors) for this vendor. See [Request 1099s](https://docs.every.io/admins/bill-pay/1099-filing.md).

**6. Save the vendor**

Select **Add vendor**, or **Save account** for a vendor Every already has. If you kept the name marked **New**, Every links the bill to your vendor with that name, or creates the vendor if you have none. Saving doesn't approve the bill: it stays on **Inbox** until someone approves it or sends it for approval.

### Fix a data mismatch

**Data mismatch** means the invoice prints different bank details than the account on file. If the bill is also a potential duplicate, resolve that first. Then choose one:

* **Add suggested account** opens **Update bank details** with the invoice's bank details. Select **Save account** to replace the account on file. Saving doesn't approve the bill.
* **Pay using existing account** approves the bill against the account on file, with no further confirmation. When the bill has approvers, it reads **Send for approval using existing account**.

### Review a card fee

**Review card fee** means the invoice mentions a credit card processing fee, so the bill can't be approved until you review it.

Every deducts no fee for you. On the page titled **All payments**, in the drawer, under **Items**, remove or edit any fee that doesn't apply to ACH (Automated Clearing House: the U.S. network that moves money between bank accounts in batches). Or, when no fee needs removing, select **Dismiss**, then **Keep full amount**.

### Resolve a potential duplicate

**Potential duplicate** means the bill matches another one. In the drawer, the **Potential duplicate** card shows the matching bill:

* **Merge** keeps the document on the matching bill and takes this copy out of the inbox. Company Admins see it when Every found a match, and confirm in the **Merge duplicate** dialog.
* **Not a duplicate** clears the flag.
* The trash button, for Company Admins, asks "Delete duplicate?", then removes this copy and leaves the original as it is.

After a merge or **Not a duplicate**, the message offers Company Admins **Undo**. On the original bill, a **Merged duplicate** card shows each merged copy, with **Unmerge** for Company Admins.

![A bill's Potential duplicate review with the matching original and Merge and Not a duplicate actions.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-bill-pay-creating-bills-duplicate-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=1be620ef1f8e20ff5d1746580e4e1868)

### Retry the bank details check

**Bank details unavailable** means Every couldn't verify the vendor's bank details. In the drawer, select **Retry bank details check**. **Approve** stays hidden until the check works.

### Pay a bill in the Send money flow

Quick approval is **Approve** on an **Inbox** row or in the drawer. It can't pay a bill when Every read no amount or the amount isn't in US dollars. It also can't when the vendor's account needs a currency quote or other payment details.

For such a bill, the drawer shows the **Needs the full Pay Bill flow** card when the vendor has an account on file and the bill isn't a potential duplicate. The card says what's missing. If the drawer also asks you to review a card fee, finish that review first, and then **Needs the full Pay Bill flow** appears.

On the card, select **Open Pay Bill** to continue in the Send money flow.

## Approve a bill

In a bill's drawer, **Approve** shows when:

* Every matched a vendor with a bank account on file, and the bank details on the invoice match it
* the bill isn't a potential duplicate, and quick approval can pay it
* you're a Company Admin, or the bill has approvers

On the page titled **All payments**, the bill also needs a **Memo** of up to 50 characters before you can approve it. When **Create a bill** is on under **QuickBooks**, fill in the QuickBooks details, invoice number, bill date and due date too. In the drawer, **Approve** has no confirmation step.

On the page titled **All payments**, you can have someone approve the bill first: in the drawer, add them under **Approvals**. **Approve** then reads **Send for approval**. Bookkeepers and Accounts Payable users have to add an approver other than themselves to submit a bill.

Company Admins can also approve from the list, for a bill that qualifies and has a memo:

1. Hover over an **Inbox** row and select **Approve**.
2. In the "Approve this bill?" dialog, select **Approve**. The dialog says "This bill will be paid immediately."

## Decline a bill

Only Company Admins can decline a bill. In its drawer, select **Decline**, then **Decline** in the "Decline this bill?" dialog. The message "Bill removed from the inbox" offers **Undo**.

## Find bills in the Inbox

**Inbox** shows the 100 most recent bills, newest first. On the page titled **All payments**, select **Filter** to narrow them by recipient, type, stage, urgency, method, category, due date or amount. You can also filter by whether a vendor matched or the bill is flagged as a potential duplicate.

## What happens next

When a Company Admin approves a bill that has no approvers, Every pays it in that step. A bill sent for approval goes to its approvers (see [Approvals](https://docs.every.io/admins/bill-pay/approvals.md)).

A declined bill shows on **All** and **Failed** with the stage **Declined**, unless it was flagged as a potential duplicate (see [All payments](https://docs.every.io/admins/bill-pay/overview.md)).

## Agent reference

**Where:** **Payments** → **All payments**, on the **Inbox** tab, the **Upload bill** button and the bill address next to the page title. A bill's drawer opens from its row. The **Bill Pay** setting is at **Settings** → **Accounting**, under **Bookkeeping automations**.

**Who:** Company Admins and Bookkeepers can open the page, upload bills and send a bill for approval, and so can Accounts Payable users once Every has turned that role on for the company. Only Company Admins can approve a bill that has no approvers, approve from a row or several rows at once and decline a bill. Only Company Admins can also merge or unmerge a duplicate, delete a duplicate or an unreadable bill and delete bills from **Inbox** several at a time. Company Admins and Bookkeepers can open **Settings** → **Accounting** and turn the **Bill Pay** setting on or off; Accounts Payable users can't open that page or change the setting. Every turns on the bill inbox company by company, and the **Bill Pay** setting must be on. If the bill inbox or the **All payments** page is missing, email [support@every.io](mailto:support@every.io) to ask about it. The **Payments** menu appears in the sidebar after the company finishes onboarding.

### Facts

* Bills arrive on **Payments** → **All payments**. If that page is titled **Bills & Reimbursements**, it has an **Inbox** tab, with the bill address inside it, but no **Upload bill** button or duplicate review.
* The **Bill Pay** row sits under **Bookkeeping automations** on **Settings** → **Accounting**, with the description "Automatically extracts and processes bills emailed to Every, and sets them up for approval." The row has a switch, and shows when Every has turned on the bill inbox for the company.
* With the **Bill Pay** setting off, **Inbox**, **Upload bill** and the bill address on **Payments** → **All payments** are hidden.
* With the **Bill Pay** setting off, Every doesn't keep a bill emailed to the company's bill address. The setting is on unless someone turns it off.
* **Upload bill** on **Payments** → **All payments** opens the **Upload bill** dialog, whose drop area reads **Click to upload or drag and drop**.
* The **Upload bill** dialog takes PDF, PNG, JPEG and WebP files, and photos in HEIC or HEIF. A file of another type, or over 8 MB, is skipped with a message that counts the skipped files.
* The **Upload bill** dialog takes 10 files per batch. With more, it takes the first 10 and shows the error "Only the first 10 files were taken" with the text "Forward the rest to your bill inbox address instead."
* Each file in the **Upload bill** dialog becomes its own bill. Every reads the files one at a time.
* Each file in the **Upload bill** dialog on **Payments** → **All payments** ends as **Added**, **Already in inbox**, **Already paid**, **Could not read** or **Failed**.
* A file marked **Added** in the **Upload bill** dialog means Every read the bill, and the bill appears in **Inbox**.
* In the **Upload bill** dialog, **Already in inbox** means an earlier bill still standing in the company was made from the same file. **Already paid** means that earlier bill already became a payment, and nothing is imported. That payment can still be waiting for approval. A declined bill doesn't count, so its file can be uploaded again.
* In the **Upload bill** dialog, the message for **Already paid** says "Nothing was imported. Look for it on the Paid tab before sending it again." The earlier payment can be somewhere other than the **Paid** tab, such as **Needs approval**, so look for it on **All**.
* The message for **Could not read** in the **Upload bill** dialog names the file, or counts the files when several couldn't be read, and says "Open the unreadable bill in Inbox and upload a clearer invoice."
* While Every reads a file in the **Upload bill** dialog on **Payments** → **All payments**, the file's status reads **Reading**.
* When one file is added or already in the inbox, the **Upload bill** dialog closes by itself. With several files, the **Upload bill** dialog doesn't close by itself; it stays open until the person selects **Done** or closes it. Closing the **Upload bill** dialog stops the batch from starting its next file.
* After an upload, **Inbox** on **Payments** → **All payments** opens when at least one file was added, was already in the inbox or couldn't be read.
* Each company has its own bill address, which ends in @bills.every.io.
* Hovering over the bill address next to the title on **Payments** → **All payments** shows "Forward bills to this address" and the text "Email an invoice here and we read the recipient, amount and due date off it." The card has a **Copy address** button. Selecting the bill address also copies it and shows "Copied to clipboard".
* An email to the bill address makes one bill from each PDF attachment, up to a size limit. The first PDF's bill also takes the images, the PDFs over that size and the other attachments. An email with no PDF under the size limit makes one bill from all its attachments.
* A bill Every couldn't read, including one read with no currency, is a row on **Inbox** with the stage **Unreadable**. Its drawer says "Invoice could not be read" and has **Upload invoice**, plus **Delete bill** for Company Admins.
* **Upload invoice** in an **Unreadable** bill's drawer on **Inbox** takes a PDF, PNG, JPEG or WebP file up to 8 MB and reads it. When Every reads it, the message says "Invoice read. Review the bill before approving it."
* **Delete bill** in an **Unreadable** bill's drawer asks "Delete this bill?" and says "This removes the original bill and its attachments from your inbox. You cannot undo this action."
* On the **Bills & Reimbursements** page, a bill Every couldn't read is listed in a banner on **Inbox** headed "Some invoices could not be read".
* A bill in **Inbox** with nothing to fix has the stage **Inbox**.
* The stages that need action on **Inbox** are **Unreadable**, **Potential duplicate**, **Data mismatch**, **Bank details not checked**, **Bank details unavailable**, **Missing information** and **Review card fee**.
* A bill in **Inbox** shows one stage at a time, the first that applies in this order: **Potential duplicate**, **Data mismatch**, **Checking bank details**, **Bank details not checked**, **Bank details unavailable**, **Missing information**, **Review card fee**, then **Inbox**. An unreadable bill shows **Unreadable** instead.
* **Missing information** is the stage of a bill with no matched vendor, or a vendor with no bank account on file.
* **Checking bank details** shows while the bank details check loads, and **Inbox** leaves a bill out while it is being checked. **Bank details not checked** shows for a bill with a matched vendor whose bank details haven't been checked. **Bank details unavailable** shows when the check failed.
* Selecting a row on **Inbox** opens the bill's drawer. On **All**, selecting a bill that needs attention opens its drawer, and selecting another **Inbox** bill opens its drawer or the Send money flow.
* Hovering over a row on **Inbox** shows **Open**, which does what selecting the row does, and before it **Approve** when the bill qualifies for quick approval, has a memo and the person is a Company Admin.
* The drawer for an **Inbox** bill on **Payments** → **All payments** shows the invoice file beside the details. Its heading shows the vendor, **Amount due** and the due date as "Due" and the date, with **Approve** (or **Send for approval**) and, for Company Admins, **Decline**.
* In the drawer for an **Inbox** bill on **Payments** → **All payments**, the **Details** tab has the fields Stage, Type, Bill date, Due date, Invoice no., Method and Outstanding balance. Type reads "Bill pay", and Stage reads the bill's stage, or **Declined** for a declined bill.
* The drawer for an **Inbox** bill on **Payments** → **All payments** has an **Attachments** section, and on the page titled **All payments** also **Approvals** and **Memo** sections. **Attachments** has a download button.
* In the drawer for an **Inbox** bill on the page titled **All payments**, **Memo** is required, at most 50 characters, and **Approve** stays unavailable until it's filled in.
* When **Create a bill** is on in the **QuickBooks** section of an **Inbox** bill's drawer, **Approve** stays unavailable until the QuickBooks details, invoice number, bill date and due date are set, and the row's **Approve** is hidden. The section says what's missing, such as "Set a bill date and due date before approving."
* In the drawer for an **Inbox** bill on **Payments** → **All payments**, the toolbar shows your position, such as "3 of 12", with **Previous**, **Next** and **Done**. The Up and Down arrow keys move to the previous and next bill.
* **Inbox** on **Payments** → **All payments** shows a count badge, with a plus sign when the inbox holds more than 100 bills, and "Showing results from the 100 most recent inbox bills." when capped.
* When **Inbox** on **Payments** → **All payments** has no bills, it reads "Nothing needs attention" and "Incoming bills wait here for review before approval or payment."
* For **Missing information**, the drawer's card is titled "Missing vendor details" and says Every holds no bank details for the vendor, so the payment can't be approved yet. Its button is **Add vendor details**.
* **Add vendor details** opens a dialog titled **Add vendor** (**Add payment details** when Every matched the vendor, and **Select vendor** when Every read no vendor name), with the sections **Vendor**, **How we pay them** and **Tax details**. Its button is **Add vendor**, or **Save account** for a vendor Every already has, and **Cancel** closes it.
* In the **Add vendor** dialog, **Vendor** shows the matched vendor's name, which can't be edited. When no vendor matched, **Vendor** is a picker that offers the name Every read off the invoice, marked **New**, and the company's vendors; it reads "Select or add vendor" when Every read no name. When Every suggests an existing vendor, the dialog says "Suggested existing vendor:" with its name and offers **Use** with that name.
* In the **Add vendor** dialog, choosing one of the company's vendors that already has payment details shows **Payment details on file** in place of the payment form, and **Confirm vendor** links the bill to that vendor.
* In the **Add vendor** dialog, **How we pay them** offers only **ACH**, **Wire** and **Check**. For **ACH**, the form starts with bank details Every read from the invoice and the note "Bank details below were extracted from the invoice."
* In the **Add vendor** dialog, **Remittance email (optional)** shows only for a new vendor, and says "Where we send confirmation once this is paid." The field starts with any email Every read off the invoice. When Every read an email off the invoice, the address in the field is saved only after the person selects the checkbox confirming it is the vendor's contact email. A saved address becomes the vendor's email on a new vendor, or on an existing vendor with the same name that has no email yet.
* In the **Add vendor** dialog, **Tax details** asks "Request a 1099 filing for this vendor?"
* For a bill with no vendor, saving the **Add vendor** dialog looks for a vendor with the same name and creates one when none exists. Saving doesn't approve the bill.
* For **Data mismatch**, the drawer's card is titled "Bank details mismatch" and says the invoice prints different bank details than the account on file. Its buttons are **Add suggested account** and **Pay using existing account**. When the bill is also a potential duplicate, the card asks to resolve the duplicate first.
* **Add suggested account** on the drawer's "Bank details mismatch" card opens the **Update bank details** dialog, which says it replaces the account on file. Its button is **Save account**, and the saved account becomes the vendor's primary account.
* **Pay using existing account** approves the bill against the account on file, with no confirmation step. When the bill has approvers, the button reads **Send for approval using existing account**.
* While a bill has a mismatch, the drawer hides **Approve**. If a vendor's bank details have changed by the time someone approves a row, approval fails with "Bank details have changed. Open this bill to review the mismatch before approving."
* A bill that needs the full Send money flow shows the **Needs the full Pay Bill flow** card instead of the mismatch card.
* For **Review card fee**, the drawer on the page titled **All payments** says "This invoice mentions a credit card processing fee. Review the items and remove any fee that does not apply to ACH, or confirm the full payable amount." **Dismiss** asks "Keep the full payable amount?", and **Keep full amount** keeps the amount without deducting a fee. Quick approval doesn't pay a bill with a card fee until its amount is reviewed.
* **Open Pay Bill** opens the bill in the same Send money flow that the **Send money** button opens. In that flow, the card "Review credit card processing fee" shows on the amount step and the review page. The card tells the person to check the original document and edit the payment amount to exclude any fee that does not apply to ACH, and says no fee has been deducted automatically. The flow doesn't go past the amount step, and the review page can't be confirmed, until the person selects the checkbox that confirms the payable amount.
* For **Potential duplicate**, the drawer's **Potential duplicate** card says "Same vendor, amount and invoice number as another payment." or "This invoice matches another bill. Compare the details before deciding.", and shows the matching bill.
* The drawer's **Potential duplicate** card has **Not a duplicate**, plus **Merge** and a trash button labeled "Delete duplicate" for Company Admins. **Merge** shows only when Every found a matching bill. With no match left, the card says to review the invoice before marking it as not a duplicate.
* **Merge** opens the **Merge duplicate** dialog, which compares "This payment" with "Merges into" and says the payment leaves the queue and its document is kept on the one it merges into. Merging takes the copy out of the inbox. **Not a duplicate** clears its duplicate flag.
* After a merge, the message reads "Duplicate merged. Its document is kept on the original." After **Not a duplicate**, it reads "Marked as not a duplicate." For Company Admins, both have **Undo**, and undoing reads "Resolution undone. The bill is back in Inbox."
* Deleting a duplicate asks "Delete duplicate?" and says "This duplicate copy will be removed. The original bill stays as it is." It removes the copy the way **Decline** does, with **Undo** in the message, but the deleted copy doesn't show on **All** or **Failed** afterwards.
* The original bill's drawer shows a **Merged duplicate** card for each merged copy, with an **Unmerge** button for Company Admins. A bill with merged documents must be unmerged before it is merged into another bill. A merged copy doesn't show on **All** or **Failed**.
* Duplicate review is on the **All payments** page only. The **Bills & Reimbursements** page has none.
* For **Bank details unavailable**, the drawer says "Could not verify bank details. Retry the check before approving this bill." Its button is **Retry bank details check**, with **Open Pay Bill** beside it unless the bill needs the full Send money flow.
* Quick approval, the **Approve** button on an **Inbox** row or in a bill's drawer on **Payments** → **All payments**, uses the vendor's account marked **Primary**, or another account on file when none is. A wire account uses wire, a check account uses check and a domestic ACH account uses ACH.
* Quick approval needs a matched vendor with a bank account on file, an invoice with matching bank details, a payment method quick approval supports, a positive amount in US dollars, a reviewed card fee, a memo and a bill that isn't a flagged duplicate.
* The **Needs the full Pay Bill flow** card says what's missing, such as "This payment requires a currency quote. Open Pay Bill to review the exchange rate and approve it." or "Open Pay Bill to complete the required payment details."
* **Approve** on an **Inbox** row shows only to Company Admins.
* A row's **Approve** asks "Approve this bill?" with the text "This bill will be paid immediately." and the button **Approve**. After it, the message reads "Bill approved".
* In an **Inbox** bill's drawer on **Payments** → **All payments**, **Approve** has no confirmation step. After it, the message reads "Bill approved", or "Bill sent for approval" when the bill has approvers.
* In an **Inbox** bill's drawer on the page titled **All payments**, **Approvals** has **Add approver**, for up to 5 approvers. With approvers, the drawer's button reads **Send for approval**, and the bill goes to its approvers instead of being paid.
* A Bookkeeper or Accounts Payable user has to add an approver to submit an **Inbox** bill, and can't add themselves. **Approvals** tells them "Select an approver to submit this bill." Submitting without one fails with "An approver must be selected before a bill can be submitted".
* When a Company Admin approves a bill with no approvers in **Inbox**, Every pays it in the same step.
* Selecting several rows on **Inbox** shows a bar with **Approve** and a count and total, for the bills a Company Admin can approve. Its confirmation says "Inbox bills are paid immediately." Company Admins can also choose **Delete**, which removes the selected bills from **Inbox** after a confirmation and offers **Undo**. Bulk approve and bulk delete each take at most 100 payments.
* **Decline** shows only to Company Admins, in an **Inbox** bill's drawer. It asks "Decline this bill?" and says "This bill will be marked as declined and removed from the Inbox." Rows on **Inbox** have no **Decline**.
* After **Decline**, the message "Bill removed from the inbox" offers **Undo**, which puts the bill back in the inbox. If the decline fails, the message reads "Could not remove this bill", and a bill that can no longer be removed says so.
* A declined bill shows on **All** and **Failed**, though not during a search or when it was flagged as a potential duplicate. Its stage is **Declined** and its Status reads "Called off". Its drawer says "This bill was declined."
* On **Inbox**, the Recipient column shows the matched vendor, or the name printed on the invoice with **New** beside it when no vendor matched.
* **Inbox** lists bills newest first. On the page titled **All payments**, its filters are **Recipient**, **Type**, **Urgency**, **Stage**, **Method**, **Category**, **Due from**, **Due to**, **Min amount**, **Max amount**, **Vendor** (**Matched**, **Unmatched**) and **Duplicate** (**Flagged**, **Not flagged**). Its **Type** filter offers only **Bill pay**, and its **Stage** filter offers the stages of a bill in **Inbox**. A bill is matched when it has a vendor.
* A sibling page, [Approvals](https://docs.every.io/admins/bill-pay/approvals.md), covers approver rules, and the [Send money](https://docs.every.io/admins/bill-pay/payment-methods.md) page covers the Send money flow.

### Questions people ask

* **Why can't I see Inbox or Upload bill?** Every turns on the bill inbox company by company, and **Inbox**, **Upload bill** and the bill address are hidden when the **Bill Pay** setting is off. **Upload bill** is on the **All payments** page only; the **Bills & Reimbursements** page has **Inbox** without it. To turn the **Bill Pay** setting on, go to **Settings** → **Accounting** and find it under **Bookkeeping automations**. To ask about the bill inbox or the **All payments** page, email [support@every.io](mailto:support@every.io).
* **Where do I turn on the Bill Pay setting?** In **Settings** → **Accounting**, under **Bookkeeping automations**. Company Admins and Bookkeepers can open that page.
* **Can an Accounts Payable user turn the Bill Pay setting on or off?** No. An Accounts Payable user can't change the setting or open **Settings** → **Accounting**.
* **What file types can I upload?** PDF, PNG, JPEG and WebP, and photos in HEIC or HEIF, up to 8 MB each, 10 files at a time.
* **Why was my file skipped or rejected?** A file of another type, or over 8 MB, is skipped. A file Every couldn't read shows **Could not read**.
* **How do I email a bill?** Email or forward the invoice to your company's bill address. Hover over the address next to the title on **Payments** → **All payments** and select **Copy address**.
* **What happens to a bill emailed while the Bill Pay setting is off?** Every doesn't keep it.
* **Does each email attachment become its own bill?** Each PDF up to a size limit does. Images, PDFs over that size and other attachments join the first PDF's bill. If no PDF qualifies, Every makes one bill from all the email's attachments.
* **What do I do with an Unreadable bill?** Open it on **Inbox** and select **Upload invoice** to give Every a clearer PDF, PNG, JPEG or WebP file, up to 8 MB. A Company Admin can select **Delete bill** instead, which can't be undone.
* **What does Already paid mean?** The file matches a bill that already became a payment, which can still be waiting for approval or scheduled, so nothing was imported. Find that payment on **All payments** before you send it again.
* **Why does my bill say Missing information?** It has no matched vendor, or its vendor has no bank account on file. Select **Add vendor details**.
* **Why does my bill say Data mismatch?** The invoice prints different bank details than the account on file. Choose **Add suggested account** to replace the account on file, or **Pay using existing account** to approve the bill against the account on file.
* **Does Add suggested account pay the bill?** No. It saves the invoice's account as the vendor's primary account and doesn't approve the bill.
* **Why is there no Approve button?** The bill doesn't qualify for quick approval, or the person isn't a Company Admin and the bill has no approvers. Quick approval needs a matched vendor with a bank account on file, matching bank details, a payment method it supports, a positive USD amount, a reviewed card fee, a memo and no duplicate flag.
* **Can a Bookkeeper pay a bill from the Inbox?** No. A Bookkeeper or Accounts Payable user adds an approver under **Approvals** in the bill's drawer and selects **Send for approval**.
* **Can a Bookkeeper decline a bill?** No. Only Company Admins can decline a bill in **Inbox**.
* **How do I pay a bill with a card fee?** In the bill's drawer, review its items and remove any fee that doesn't apply to ACH, or select **Dismiss**, then **Keep full amount**, to keep the full payable amount.
* **How do I pay a bill that isn't in US dollars?** Open it in the Send money flow: its drawer offers **Open Pay Bill**. Quick approval works only for USD bills.
* **How do I merge a duplicate?** A Company Admin selects **Merge** in the drawer's **Potential duplicate** card, then confirms in the **Merge duplicate** dialog. **Undo** in the message reverses it, or **Unmerge** on the original bill.
* **Can I undo declining a bill?** Yes. Select **Undo** in the "Bill removed from the inbox" message.
* **Where do declined bills go?** To **All** and **Failed**, with the stage **Declined**.
* **Do I get a confirmation before declining?** Yes. **Decline** in the drawer asks "Decline this bill?" first.
* **Does Approve in the drawer ask me to confirm?** No. **Approve** in the drawer has no confirmation step. Approving from a row asks "Approve this bill?" first.
